How to plan the perfect party

Ready to throw a party but unsure of where you should start? Planning a party doesn’t need to be stressful! We’ve put together a list of the top tips to help you organise any event, from a small birthday bash, to a large-scale engagement or a fundraising soiree.

The best events are the ones that have a distinctive design. Is there a specific theme for the event? Or is the event based around the location or activity? Keep this in mind when creating your event; make sure the design is achievable and that all other ideas are consistent with the theme. Everything else should flow from this.

A good way to do this is to create a mood board for your event. Have some fun on Pinterest and look for inspiration, them simply use PowerPoint to pull it all together. Once you have a mood board and know y our look and feel, everything else will come together cohesively (think décor, food, cakes, dress code etc).

Make a Plan

Get yourself organised from the start and begin planning as early as you can. Cover all aspects of the event from food, beverage, entertainment, location and decorations. Create lists with all the tasks involved and work out what needs to be done first. Delegate where possible to the network around you or find assistance where you can.

Build a Budget

You don’t need to spend a fortune to have an amazing party, but it’s extremely important to budget before you begin. This allows you to maximise your allocated funds to their full potential. Factor in the resources and materials that you will need – and make sure you stick to it.

If money is looking a little tight, find creative ways to keep the costs down. Negotiate with vendors on the price, use Pinterest for DIY inspiration and check out online websites for great deals.

Connect Early

In this modern society it is easier than ever to connect with guests via email or social media channels. Give your guests enough notice about the event so they can make suitable arrangements. Save the paper (and the costs) by using websites such as Paperless Post to take care of the design, distribution and management of RSVP’s. Or you could always impress by sending a personalised invite in the mail.

Have a Plan B

More often than not, there will be at least one issue at an event. Plan ahead and assess the important assets that you have to create a backup solution. If you're using an outdoor venue, always have a wet weather backup and a way to contact guests should you need to change venues at the last minute. Things are going to change, so ensure that you are flexible and can meet the changing demands. Remember to stay calm and carry on!
