Visitor and Hospitality Protocols


Each year the University receives many visitors. Some come to meet colleagues or long-term friends. Others are here to assess the University as a place of study for their children. Among the many visitors are politicians - from Australia or abroad - ; diplomats, business people, the media; police, fire brigade or ambulance officers; the guests or clients of University or Union personnel; suppliers of services to the University or the family and friends of our students. Each of our visitors will take away an impression of the University of Canberra based on the warmth and appropriateness of the hospitality and assistance they receive while on campus. This memorandum has been developed as a guide to the levels of appropriate hospitality and the protocols to be observed. It also provides guidance about expenses incurred in hosting visitors to the campus.

Australian / Foreign Heads of State / Senior Commonwealth or ACT Government Ministers

All visits in this category are to be arranged through the Vice-Chancellor’s Office.  The International Office and Divisions will be advised as appropriate.

The visitor is to be afforded priority parking at the entrance to Building 1 and will be met by the Vice-Chancellor or the VC's nominee. Such visitors would generally have their own designated transport and security organised by others.

Gifts and any refreshments, if appropriate, will be arranged by the Vice-Chancellor’s Office and charged to the Executive.

Junior Ministers / other Australian or Overseas Politicians / Senior Diplomats

All visits in this category are to be arranged through a Pro Vice-Chancellor or Head of School. The Vice-Chancellor’s Office and the International Office are to be advised of the visit as appropriate.

The visitor is to be afforded priority parking at an appropriate entrance to the University and should be met by the appropriate Pro Vice-Chancellor or Head of School, or by the Director, International Office. Such visitors would generally have their own designated transport and security organised by others.

Gifts and any refreshments, if appropriate, will be arranged by the designated host’s office and charged to the Division .

Vice-Chancellors / Deputy Vice-Chancellors

All visits in this category are to be arranged through the Vice-Chancellor’s Office.  The International Office and Divisions will be advised as appropriate.

The visitor is to be afforded priority parking at the entrance to Building 1 and will be met by the Vice-Chancellor or the VC's nominee. An airport meeting and drop-off may be appropriate for some visitors. Australia-based visitors would generally have their own designated transport organised by others.

Gifts and any refreshments, if appropriate, will be arranged by the Vice-Chancellor’s office and charged to the Executive.

Other Senior Academics / Business People

A visit in this category will generally be facilitated by a Pro Vice-Chancellor or Head of School. The International Office or Business Development Office are to be advised of visits as appropriate.

The visitor is to be afforded parking at an appropriate entrance to the University and met by the appropriate Pro Vice-Chancellor, Head of School or senior member of staff.  Such visitors would generally have their own designated transport organised by others.

Gifts and any refreshments, if appropriate, will be arranged by the designated host office and charged to the host Division.

International Marketing Agents

A visit in this category will generally be facilitated by the International Office or the Deputy Director of an Academic division. The International Office is to be advised of all visits by international agents.

The visitor is to be afforded parking at an appropriate entrance to the University and met by the appropriate Deputy Director or senior member of staff. Such visitors would generally have their own designated transport organised by others.

Gifts and any refreshments, if appropriate, will be arranged by the designated host office and charged to the host Division or the International Office as agreed beforehand.

The Media

A visit in this category will generally be facilitated by the Public Relations Office, a Pro Vice-Chancellor or Head of School. The Public Relations Office and the Vice-Chancellor’s Office are to be advised of all visits to campus by members of the media.

The visitor is to be afforded parking at an appropriate entrance to the University and met by the appropriate Pro Vice-Chancellor, Head of School or senior member of staff. Such visitors would generally have their own designated transport organised by others.

Any refreshments, if appropriate, will be arranged by the designated host office and charged to the host Division or the Public Relations Office as agreed beforehand.

Emergency Services and/or the Police

A visit in this category may be independent or initiated by a member of staff. The University Security Office is to be advised of all visits to campus by the Police or Emergency Services.

The visitors are to be afforded parking at an appropriate entrance to the University and met by the appropriate senior member of staff. Such visitors would generally have their own designated transport organised by others.

Prospective International Students and their Parents

Prospective international students and their parents regularly visit the campus before confirming their enrolment.

A visit in this category will be facilitated by the International Office.

Prospective Domestic Students and/or their Parents

Prospective domestic students and their parents regularly visit the campus before confirming their enrolment.

A visit in this category will be facilitated by either the domestic marketing team or the appropriate divisional staff.
