Emailing all Students in a Given Unit (Subject) or Course

The UC  Unit (Subject ) and Course Based Mailing List System allows e-mail to be sent to all currently enrolled students in individual subjects (units) or courses. You can also further qualify the address to send e-mail to only students in a particular semester or flexible delivery class or a single course stream. 

The email addresses use the following convention:

  1. sub+ucode.sem.year.class@student.canberra.edu.au
  2. unit+ucode.sem.year.class@student.canberra.edu.au
  3. crse+ccode.strcode.campus@student.canberra.edu.au

The first two address formats are for sending email to students enrolled in a unit and the third format is for sending email to students enrolled in a course. The segments in bold are compulsory; the remaining segments are optional. The segments in italics should be replaced by real values.

The leading keyword sub/unit or crse indicates that the email is to be sent to the students in a unit, subject or course. They should be entered exactly the same as above. The other segments are:

  • ucode: a four or six digit subject (unit) code, for example, 5504 or 005504 (Biochemistry). This segment is compulsory.
  • sem: a single character for the semester. It can be 1 (the first semester), 2 (the second semester), S or s (summer school), or Y or y (for year long subjects). If the segment is missing, the current semester is used. Please check the university Principal Dates for the semester dates. The code for year long subject (Y or y) or summer school subject (S or s) cannot be omitted.
  • year: year in four digit format, e.g., 1998 or 2000. If omitted, it defaults to the current year. It is only possible to use the year for the current year, last year and next year in this segment.
  • class: four alphabetic character class code. A class code is another layer under subject, semester, and year, for example, AAAL, AAAX, and AABT etc. The segment is optional. If omitted, only "standard" class students, who actually do not have any attached class information, are chosen.
  • ccode: a three digit course code, for example, 139 (Bachelor of Applied Science). This segment is compulsory.
  • strcode: two alphabetic character stream codes, for example, AA, AB, and BF etc. If omitted, it means all streams under the course code specified in ccode segment. You can also use the keyword ALL to stand for all streams.
  • campus: a two letter campus code, for example, BR, ML, and SG etc. If omitted, it defaults to UC Bruce campus (BR). 

To use this mechanism send email to the email addresses following the above convention. This system allows multiple email addresses to be entered on the address line. If you need to send email to students in several subjects and/or courses, just use the corresponding email addresses. If you wish, you can create your own email alias to make those multiple email addresses easier. We no longer provide higher level course names, which contain several course codes.

If you also want to send your email to other people, whose email addresses are not in the format mentioned above, please include those email addresses in the "Cc:" or "Bcc:" field. The mailing list program relies on the information from the email address to decide the right recipients. It checks the format of each email address in the "To:" field and discards the one which is not in the right format.

Here are some examples of email addresses:

Recipients: all the students who are enrolled in Subject 5504 (Biochemistry) of the current semester. The leading keyword unit and sub in the following examples are interchangeable.

unit+005504@student.canberra.edu.au

Recipients: The same as above. The subject code 5504 in the following examples can be 005504 as well.

sub+5504.1@student.canberra.edu.au

Recipients: all the students who are enrolled in Subject 5504 (Biochemistry) which is conducted in the first semester of this year.

unit+5504.S@student.canberra.edu.au

Recipients: all the students who are enrolled in Subject 5504 (Biochemistry) which is conducted in the summer school of this year.

unit+5504.Y@student.canberra.edu.au

Recipients: all the students who are enrolled in the year long Subject 5504 (Biochemistry).

sub+5504.2.1999@student.canberra.edu.au

Recipients: all the students who are enrolled in Subject 5504 (Biochemistry) which is conducted in the second semester of the year 1999.

unit+5504.2.2000.AAAQ@student.canberra.edu.au

Recipients: all the students who are enrolled in Subject 5504 (Biochemistry) which is conducted in the second semester of the year 2000 in the AAAQ class.

crse+139@student.canberra.edu.au

Recipients: all the students who are enrolled in Course 139 (Bachelor of Applied Science), which is conducted on the main campus - Bruce campus.

crse+139.ALL@student.canberra.edu.au

Recipients: the same as above. The keyword ALL means all streams under this course code.

crse+139.AA@student.canberra.edu.au

Recipients: all the students who are enrolled in Course 139 (Bachelor of Applied Science), Stream AA, on the Bruce campus.

crse+139.AA.SG@student.canberra.edu.au

Recipients: all the students who are enrolled in Course 139 (Bachelor of Applied Science), Stream AA, which is conducted on the Singapore campus.

crse+139.ALL.SG@student.canberra.edu.au

Recipients: all the students who are enrolled in Course 139 (Bachelor of Applied Science) on the Singapore campus. In this case, the stream code segment cannot be empty; otherwise, the mailing list program with take the campus code SG as the stream code. You have to keep the keyword ALL in the address to stand for all streams.

Please note that the bulk email mail system should only be used for short messages without email attachments. Large documents such as online course materials can be made available to students in other ways, e.g. via the WWW or through WebCT, where a single copy is available for all to access.

It is important to also note that this email system sends email to student email accounts on the UC student server and that all students must access these account to read their email, or alternatively they can set up a forwarding address via OSIS to re-direct their email to the desired destination.
