Project Initiators
Prepares and submits project mandates and ideas
Obtains Executive sponsorship or acts as Executive sponsor of a project
Co-ordinates the development of Full Project Proposals with support from a group nominated by the CPAB or UIMSC
Project Sponsor
A senior staff member of the University
A major driving force for the project
Signs and approves the initial project proposal
Project Manager
Manages the initiation, execution and closure of the project as per approved plans and tolerances
Manages the project team
Applies UC standard project management processes, techniques and procedures
Maintains project communication and interfaces with UC processes such as Change Management
Reports on project progress to the Project Board and the CPAB and UIMSC (via the EPMO)
Escalates issues and risks to the project board as required
Project Board
Comprised of
Executive, Senior User and Senior Supplier
Governs the project delivery
Consists of a Project Executive (ultimately accountable for the project), a Senior User and a Senior Supplier
Accountable for the project outcomes
Defines business outcomes, scope, budget, timelines and resources
Appoints the Project Manager
Monitors project progress against plan
Approves reports prepared by the Project Manager

Enterprise Portfolio Management Office
Supports, develops and maintains project management standards set by the CPAB
Maintains the Project Register and EPMO website
Compiles project summary information for the CPAB and UIMSC
Assists project managers and teams through the provision of standard templates, tools and techniques
Facilitates communication between various groups

Sets and ensures compliance with project management standards
Forms working parties to analyse project requirements and develop full project proposals
Evaluates new projects, make recommendations and provides summary information to the UIMSC
Identifies opportunities for new projects and enterprise wide application of existing projects
Approves and prioritises small and medium sized projects

Identifies and sets ICT and IM strategic priorities against the University’s objectives
Approves large and very large projects
Prioritises projects and resource allocation using set guidelines
Determines the portfolio balance (project mix)
