Faculty Boards Terms of Reference

  1. To play a lead role in strategic and operational planning of the Faculty including monitoring and reviewing the implementation of the Faculty’s Operational Plan.
  2. To monitor academic standards and student outcomes in teaching, learning and research within the Faculty.
  3. To develop processes and practices within the Faculty with regard to education, research, staffing and student activity consistent with the framework policies of Academic Board.
  4. To monitor existing courses and approve new courses and course components to ensure that they are aligned with the strategic aims of the Faculty and make recommendations to Academic Board.
  5. To monitor, facilitate and assess research within the Faculty.
  6. To advise Academic Board on the activities of the Faculty.
  7. To advise on other matters referred by Academic Board and/or the Vice-Chancellor.
  8. To establish relevant sub-committees or working groups that facilitate the work of Faculty Board.

  • Associate Dean (Education) ex officio (1 member)
  • Associate Dean (Research) ex officio (1 member)
  • Heads of Discipline ex officio (1-6 members)
  • Course convenors ex officio (various members)
  • At least two members who are members of academic staff assigned to the Faculty (various members)
  • One member who is a member of the administrative or technical staff assigned to the Faculty (1 member)
  • One student representative, who is a currently enrolled undergraduate student of the University enrolled in a course offered through the Faculty (1 member)
  • One student representative, who is a currently enrolled postgraduate student of the University enrolled in a course offered through the Faculty (1 member)
  • Such other persons who are associated with the work of the Faculty.

Total - At least 10 members

(Except as specified above the Committee may not make arrangements for alternates but may make co-option arrangements for members with specific expertise).

Method of Appointment

  • Dean of the Faculty - ex officio
  • Associate Deans (Education) - ex officio
  • Associate Deans (Research) - ex officio
  • Heads of Discipline - ex officio
  • Course convenors - ex officio
  • At least two members who are members of academic staff assigned to the Faculty - elected by the academic staff assigned to the Faculty.
  • One member who is a member of the administrative or technical staff assigned to the Faculty - elected by the administrative and technical staff assigned to the Faculty.
  • One student representative who is a currently enrolled undergraduate student of the University enrolled in a course offered through the Faculty - nominated by Students’ Association.
  • One student representative who is a currently enrolled postgraduate student of the University enrolled in a course offered through the Faculty - nominated by Students’ Association
  • Such other persons, including representatives from other Faculty Boards, who are associated with the work of the Faculty - determined by resolution of a Faculty Meeting and approved by Academic Board.

Period of Office

Where appropriate half the elected representatives or nominees (other than the student representative who is to be appointed for a one year term) should be changed every two years to ensure continuity.

Such members can be re-appointed but only for one additional term though members can serve further, non-consecutive terms.

Secretariat arrangements

Secretary provided by the Faculty.

The Secretary should maintain minutes of meetings of the Faculty Board and a record of reports and associated material as part of the official University records.

Quorum

A quorum consists of a majority of members.

Where there is no quorum the Faculty Board may still meet to ensure that the work of Faculty Board continues.

Any recommendations made at such meetings would need to be endorsed by a subsequent meeting where a quorum was present.

Schedule of meetings

Normally meets at least 6 times per year.

The Faculty Board should not meet unless there is sufficient business to warrant a meeting being held.

Notes

The Faculty Board may establish sub-committees to assist its work.

The Faculty Board may establish working parties to consider specific issues.

Academic Board should be advised where the Faculty Board establishes sub-committees or working parties.
